CASE STUDY 01 · ESTATE RECORDS INVENTORY
A Klang Valley Executor With No Clear Starting Point
SITUATION
An executor in Ampang had been appointed for an estate that included property in two states, accounts at three banks and a collection of insurance policies spanning forty years. Documents were spread across a storeroom, a home filing cabinet and a safe. Three weeks after the bereavement, the executor had not been able to produce a complete list for the solicitor handling the grant of probate.
WHAT WAS DONE
A two-week inventory engagement was commissioned. The team worked through the location checklist across all three storage areas, photographed aged documents before handling and produced a catalogue of 94 separate records. The gaps list identified two insurance policies that had been with a company that had since been acquired — the executor had not known to look for them under the new entity's name.
OUTCOME
The solicitor received the full inventory and used it as the basis for the grant application. The bank accepted the indexed document set on the first submission without requesting additional certification. The two missing insurance policies were located through the gaps list and the claims submitted within the estate administration period.

CASE STUDY 02 · DIGITISATION
A Multigenerational Family Archive in Subang
SITUATION
A family in Subang Jaya had accumulated records across three generations — property papers, personal letters, business correspondence and family photographs, most of it paper-based and stored in varying conditions. The eldest sibling wanted to create a durable archive before the originals deteriorated further, but had no framework for how to organise or name files in a way the wider family could navigate.
WHAT WAS DONE
A naming convention was agreed that reflected the family's own category labels rather than a generic system. Over seven weeks, approximately 680 documents and 340 photographs were scanned, named and indexed. Originals were placed in acid-free folders grouped to match the digital categories. The archive was delivered on two media sets and a training session was conducted with two family members.
OUTCOME
The family has a searchable digital archive covering three generations. The eldest sibling has since added documents relating to the parents' estate using the same convention without assistance. The physical originals are stored in labelled archival boxes that match the digital index, so locating a specific document takes minutes rather than a search through unlabelled files.

CASE STUDY 03 · EXECUTOR SUPPORT
An Executor Managing Administration From Abroad
SITUATION
A family member based in Singapore was named executor for a parent's estate in Petaling Jaya. The estate included a property, accounts at two banks and a unit trust. Managing the clerical side of the administration remotely — while working full-time — meant that correspondence was being missed and submission deadlines were not being tracked.
WHAT WAS DONE
A six-month Executor Administrative Support Programme was engaged. A master records file was established from the outset. Document sets for the land registry, both banks and Amanah Raya were prepared in the required formats before requests arrived. A shared task board was maintained throughout; the executor received fortnightly written summaries rather than having to follow up separately.
OUTCOME
The administration was completed within the six-month programme period. No deadlines were missed. The bank accounts were closed without re-submission. The closing archive produced at the end of the programme included every piece of correspondence, every document set and a written log of all response windows and outcomes — providing the executor with a complete record for their own files.
