The Record Template
Before engaging, families can see an anonymised example of a completed inventory entry — what it contains, how it is structured and what the final deliverable looks like. There is no ambiguity about what is being purchased.
Condition Photography Before Handling
Fragile documents are photographed in place before they are touched. This creates a condition record that is useful if questions arise later about the state of a document when it was first catalogued.
Referral Note Without Direction
The closing report names the types of qualified professionals a family may need alongside records work — solicitor, valuer, accountant — without directing them to any specific firm. The family chooses their own advisers.
Update Protocol Included
The digitisation engagement includes a written update protocol so the family can add new documents to the archive after the engagement closes — using the same naming convention and index structure already in place.
