Legacy Document Archive & Digitisation

Paper records converted into an ordered, durable digital archive. Documents are scanned at archival resolution, named to an agreed convention, indexed and delivered on media the family keeps. Photographs, letters and personal effects records can be included. Runs six to eight weeks.

Executor Administrative Support

Six months of support for the clerical side of an executor's workload. We maintain the master records file, prepare document sets for institutions, keep a correspondence log, track response windows and produce fortnightly written summaries. The work is organisational only — where a matter needs a qualified professional, we say so.

What exactly does an estate records inventory cover?

The inventory covers documents associated with the estate — property papers, bank and financial account statements, insurance documents, membership records, correspondence and certificates. Each item is described, dated and indexed. Fragile items are photographed before handling. The inventory describes what exists and where it is kept; it does not value anything or advise on any arrangement.

Is this the same as a property valuation or legal assessment?

No. Heirloom Atlas does not value property, give legal opinions or assess the estate in any regulatory sense. The work is descriptive and organisational. We locate documents, describe them and put them in order. Where the work requires a licensed professional — a solicitor, a valuer, or an accountant — we say so clearly and stand back.

How long does each engagement take?

The Estate Records Inventory is completed within two to three weeks of receiving access to the documents. The Legacy Document Archive and Digitisation engagement runs six to eight weeks. The Executor Administrative Support Programme runs six months with fortnightly reviews. All timelines are stated in writing before the engagement begins.

Do you handle documents physically or remotely?

For inventory and digitisation work, physical access to the documents is typically required. We are based in Petaling Jaya and serve families in the Klang Valley area. For families with documents in other locations, we can discuss practical access arrangements during the initial enquiry.

What happens to original documents during digitisation?

Originals remain with the family or in their designated location throughout the engagement. For the digitisation programme, we use acid-free folders and boxes to store originals properly alongside the digital copies. We do not remove original documents from the family's custody.

How are the digital files named and organised?

We agree on a naming convention with the family before scanning begins. Files are named consistently, grouped by category and accompanied by a full written index. The family receives a training session so they can locate and manage files independently after the engagement closes.

What is included in the Executor Support programme?

The programme covers the clerical side of an executor's workload for six months: maintaining the master records file, preparing document sets for institutions, keeping a correspondence log, tracking published response windows, producing fortnightly written summaries and maintaining a shared task board. The engagement closes with a bound archive of everything produced.
