How Heirloom Atlas Came to Be
The practice started with a straightforward observation: families dealing with a loved one's estate were spending weeks — sometimes months — simply working out what existed and where it was kept. Solicitors were waiting on documents. Banks were requesting certified copies. Land registries wanted specific formats. The executor was in the middle of all of it, often without a clear picture of what the estate contained.
Heirloom Atlas was set up in Petaling Jaya to address that specific gap. Not to advise, not to act on anyone's behalf, but to produce a clear, well-structured record of what the estate holds — one that makes the work downstream easier for the people who need to do it.
The name draws from the atlas tradition — detailed, methodical, produced to be useful to the person who needs to navigate. An estate inventory works the same way: it is useful precisely because it is accurate, complete and laid out in a form the reader can follow.
Since opening, the practice has worked with families at different stages of the estate process — from the initial weeks after a bereavement through to the later stages of an extended administration. The engagements are scoped tightly, the work is delivered in writing, and the family is left with something they can actually use.

What We Stand By
Scope Discipline
We describe and organise. We do not advise, interpret or act on anyone's behalf. Knowing what the engagement covers — and does not cover — protects the family and keeps the work honest.
Written Everything
Scope, timeline, findings and handover are all delivered in writing. The family keeps a clear record of what was done and what remains open — not a memory of a conversation.
Careful Handling
Physical documents are handled with care. Fragile items are photographed before touching. Originals stay in the family's custody. Archival materials are used where they matter.
Referral Without Preference
Where a matter requires a solicitor, valuer, accountant or other qualified professional, we say so clearly and stand back. We do not direct families to specific firms.

The People Behind the Work
A small team with complementary backgrounds in records management, archival handling and administrative process.
Siti Rahimah Ismail
PRINCIPAL — RECORDS
Seventeen years working in document management and estate administration across Selangor. Oversees all inventory and archive engagements and sets the handling protocols for physical documents.
Kelvin Loh Wei Sheng
DIGITISATION LEAD
Background in library and information science, with a focus on archival scanning and digital preservation. Manages all scanning work and the naming conventions used across client archives.
Priya Menon
EXECUTOR SUPPORT
Spent ten years in corporate secretarial and compliance work before joining Heirloom Atlas. Manages the executor administrative support programmes and the correspondence tracking system.
PLATE 05 — STANDARDS
How the Work Is Done
Each engagement follows a consistent set of protocols applied across every client — regardless of the size or complexity of the estate.
Document Location Protocol
We work through a structured location checklist before cataloguing begins — property papers, financial accounts, insurance, personal correspondence. Nothing is assumed to be absent until the checklist is complete.
Pre-Handling Photography
Fragile, aged or deteriorating items are photographed before any handling takes place. The photographs become part of the inventory record and provide a condition reference point.
Data Handling & Confidentiality
All personal and financial information encountered during the engagement is handled under a written confidentiality agreement. Digital files are stored on encrypted media and delivered on two independent sets.
Archival Storage Materials
Acid-free folders, boxes and sleeves are used for original document storage where required. Materials are selected to the appropriate standard for the document type and expected storage period.
Consistent Naming and Indexing
Digital files follow a naming convention agreed with the family before scanning begins. The written index matches the file structure so any family member can locate a document independently.
Written Closing Report
Each engagement closes with a written report covering what was done, what was found, what gaps remain and any matters the family should raise with a qualified professional. The report is the final deliverable.

PLATE 06 — CONTEXT
Estate Records in Malaysia — What the Work Involves
In Malaysia, the administration of an estate typically involves dealings with Amanah Raya Berhad, the land registry, financial institutions, insurance companies and various government departments. Each body has its own document requirements, its own timelines and its own channels for correspondence.
Before any of that work can proceed sensibly, someone needs to know what the estate contains and where the relevant documents are kept. That is the gap Heirloom Atlas fills — methodical, thorough records work that gives executors and family members a clear starting position.
Property papers for land in Selangor, financial accounts across multiple banks, insurance policies that may have lapsed or changed names, personal correspondence with legal relevance — these are the kinds of records that need to be found, described and indexed before the administration can move forward.
Heirloom Atlas does not perform the administration itself and does not give advice on any matter. The work is descriptive and organisational — producing the clear picture that makes everything else possible.
